The Role
The school is looking for a highly organised School Administrator who can manage a varied workload and provide reliable administrative support across the school.
This is a busy position that will involve dealing with enquiries, maintaining records, preparing documentation and supporting the day-to-day running of the school office. The successful candidate will need to be able to prioritise effectively and maintain a high level of accuracy even during particularly busy periods.
You will work closely with teaching staff, pastoral teams and senior leaders and will regularly communicate with parents, students and external organisations.
Key Responsibilities
Providing day-to-day administrative support across the school.
Acting as a professional first point of contact for parents, students and visitors.
Managing telephone and email enquiries.
Responding to general queries and directing enquiries to the appropriate member of staff.
Maintaining accurate student and staff records.
Updating school databases and management information systems.
Preparing letters, reports, forms and other school documentation.
Supporting senior leaders with administrative tasks.
Assisting with student admissions and new starter administration.
Supporting attendance-related administration where required.
Maintaining organised electronic and paper filing systems.
Preparing paperwork for meetings.
Assisting with the administration of school events, trips and activities.
Supporting staff with routine administrative requests.
Maintaining accurate records of correspondence.
Liaising with parents and carers professionally.
Communicating with external organisations when required.
Supporting the ordering and organisation of office supplies.
Ensuring confidential information is handled appropriately.
Assisting other members of the administration team during busy periods.
The School Office
The school office is a central part of the school's daily operation. It is often the first point of contact for parents and visitors, meaning that professionalism, communication and organisation are particularly important.
The successful candidate will need to create a welcoming and professional impression while ensuring administrative procedures are followed accurately.
You will regularly manage several tasks at once, so the ability to prioritise is essential. There may be times when an urgent parent enquiry, senior leadership request or student matter needs to be dealt with alongside routine administrative responsibilities.
You will therefore need to remain calm, organised and focused.
Student Records and Administration
Accurate record keeping will be an important part of the position.
You will maintain student information and ensure that records are updated promptly when circumstances change. You will also need to ensure that information is stored appropriately and shared only with authorised colleagues.
Experience using a school management information system would be advantageous, although candidates with strong transferable administrative experience will also be considered.
Communication
The role requires excellent communication skills.
You will regularly communicate with parents and carers, teachers, senior leaders, students and external contacts. You should therefore be confident communicating by telephone, email and in person.
The successful candidate must be able to deal with enquiries professionally, identify when an issue needs to be escalated and ensure important messages are passed to the appropriate person.
Requirements
Previous experience working in an administrative role.
School or education administration experience is desirable.
Excellent organisational and time-management skills.
Strong written and verbal communication.
Excellent attention to detail.
Good working knowledge of Microsoft Office.
Confidence using databases and computerised systems.
Ability to maintain accurate records.
Ability to manage confidential information appropriately.
