A well-established Secondary School in York is seeking an experienced and highly organised Attendance & Admissions Officer to join its dedicated support team. The Role
As the Attendance & Admissions Officer, you will take responsibility for the effective administration and monitoring of student attendance while supporting the school's admissions processes.
You will monitor attendance data, identify patterns and concerns, communicate with parents and carers, and work closely with pastoral staff and senior leaders to improve attendance.
The successful candidate will need to be confident having professional conversations with parents and carers, including where attendance has become a significant concern. You will need to balance a supportive approach with the ability to communicate the school's expectations clearly.
The admissions element of the role will involve maintaining accurate student records, supporting new admissions and ensuring information is processed correctly.
Key Attendance Responsibilities
Monitoring daily student attendance.
Identifying unexplained absences and following up promptly.
Contacting parents and carers regarding absence and punctuality.
Maintaining accurate attendance records.
Monitoring persistent absence and emerging attendance concerns.
Producing attendance reports for pastoral staff and senior leaders.
Identifying attendance patterns and trends.
Working with tutors, heads of year and pastoral teams to address concerns.
Supporting attendance meetings with parents and carers.
Maintaining accurate records of attendance interventions.
Preparing correspondence relating to attendance.
Following school attendance procedures consistently.
Supporting the school in improving overall attendance figures.
Liaising with relevant external professionals when appropriate.
Maintaining confidentiality when dealing with sensitive family circumstances.
Admissions Responsibilities
The successful candidate will also support the administration of student admissions.
This will include processing applications, maintaining student records and ensuring relevant documentation is received and accurately recorded.
You will communicate with parents and carers throughout the admissions process and ensure information is passed to the appropriate departments.
Responsibilities will include:
Processing admissions documentation.
Maintaining accurate admissions records.
Updating student databases.
Checking documentation and personal information.
Supporting new student enrolment.
Communicating with parents and carers regarding admissions.
Liaising with relevant school departments regarding new starters.
Preparing admissions paperwork.
Supporting transition arrangements.
Ensuring records are updated promptly.
Assisting with school tours, visits or admissions events when required.
Working with Students and Families
Attendance can be affected by a wide range of circumstances, so the successful candidate must be able to approach conversations with families professionally and sensitively.
You will need to establish positive relationships while ensuring that school expectations remain clear. The ability to listen, communicate effectively and record information accurately will be essential.
The role will also involve working closely with pastoral and safeguarding colleagues where attendance concerns may indicate wider issues affecting a student's education or wellbeing.
Requirements
Previous administrative experience.
Experience working with attendance, admissions or student records is highly desirable.
School or education experience is preferred.
Excellent communication skills.
Strong organisational and administrative ability.
High level of accuracy and attention to detail.
Confidence communicating with parents and carers.
Ability to handle confidential information appropriately.
Good IT skills, including Microsoft Office.
Experience using databases or management information systems.
Ability to analyse and interpret basic attendance information.
Ability to manage competing priorities.
Professional and approachable manner.
Commitment to improving student attendance and engagement.
