The Role
The school is looking for a highly organised and reliable School Administrator who can provide effective administrative support across the school. You will be responsible for ensuring the school's day-to-day administrative systems operate efficiently and that staff, students and visitors receive a professional and helpful service.
The successful candidate will work across a range of administrative duties and will need to be comfortable managing competing priorities. No two days are likely to be exactly the same, so the ability to remain calm, organised and professional is essential.
The role will involve maintaining accurate school records, responding to enquiries, supporting communication with parents and staff, preparing documentation and assisting with the smooth running of the school office.
You will be expected to work proactively, identify tasks that need attention and ensure important deadlines are met.
Key Responsibilities
Providing efficient day-to-day administrative support to the school.
Acting as a professional first point of contact for parents, students, staff and visitors.
Managing telephone and email enquiries and ensuring queries are dealt with promptly.
Maintaining accurate student, staff and school records.
Updating school databases and internal administrative systems.
Preparing letters, reports, forms, correspondence and other school documentation.
Supporting senior leaders and teaching staff with administrative requirements.
Assisting with student admissions and new starter administration when required.
Maintaining organised electronic and paper filing systems.
Supporting the preparation of meetings, including agendas, paperwork and minutes.
Processing routine administrative requests from staff and parents.
Assisting with school events, trips and activities.
Supporting attendance administration where required.
Maintaining confidentiality when handling sensitive student, staff or family information.
Assisting with general office organisation and ensuring administrative processes are completed accurately.
Liaising with external organisations and suppliers when necessary.
Supporting the wider administration team during particularly busy periods.
The School Office
The school office plays an important role in maintaining the professional and welcoming atmosphere of the school. It is a busy environment where communication, organisation and attention to detail are essential.
The successful candidate will work alongside experienced administrative colleagues and will have regular contact with senior leaders and staff across the school. You will need to be confident dealing with people from different backgrounds and able to communicate appropriately with students, parents, colleagues and external visitors.
What the School Is Looking For
The ideal candidate will have previous administrative experience, preferably within a school, college, education setting or another environment where confidentiality, organisation and accurate record keeping are important.
Experience of working in a school office would be highly desirable, although strong candidates with transferable administrative experience will also be considered.
You should be confident using Microsoft Office, including Word and Excel, and comfortable learning new databases and school management systems.
The successful candidate will have excellent attention to detail and will take pride in producing accurate work. You will also need to be able to prioritise effectively when several tasks require attention at the same time.
A friendly, professional manner is essential, as the administrator will represent the school when dealing with parents, visitors and external contacts.
Requirements
Previous administrative experience.
School or education administration experience is desirable.
Excellent organisational and time-management skills.
Strong written and verbal communication skills.
Good working knowledge of Microsoft Office.
Confidence using databases and computerised systems.
