We are currently recruiting for a School Administrator to join a well-established secondary school in Northampton. The successful candidate will become an important member of the school's administrative team, supporting the smooth running of the school on a day-to-day basis. Administration Team
The administration team plays a central role in the day-to-day operation of the school. From welcoming visitors and responding to enquiries to maintaining records and supporting senior staff, the team ensures that the school's administrative processes remain organised and effective.
As School Administrator, you will work closely with colleagues across the school, including teaching staff, pastoral teams, senior leaders and other support staff. You will need to communicate professionally and sensitively, particularly when dealing with parents, students and external visitors.
The role would suit someone who is comfortable working in a fast-paced environment where priorities can change throughout the day. You will be expected to remain calm under pressure, organise your workload effectively and ensure that tasks are completed accurately and within appropriate timescales.
Key Responsibilities
Providing efficient day-to-day administrative support to the school and wider staff team.
Acting as a professional first point of contact for parents, students, visitors and external callers.
Answering telephone calls and responding to emails in a timely and appropriate manner.
Welcoming visitors to the school and ensuring appropriate sign-in and safeguarding procedures are followed.
Maintaining accurate student, staff and administrative records.
Preparing letters, correspondence, documents and reports when required.
Supporting the organisation of meetings, appointments and school events.
Assisting senior leaders and other members of staff with general administrative requirements.
Processing information accurately and ensuring confidential records are maintained appropriately.
Updating school systems and databases with relevant information.
Supporting admissions and student-related administration where required.
Assisting with attendance administration and following up information as directed.
Filing and maintaining electronic and paper documentation in an organised manner.
Supporting the production of reports and information for internal use.
Communicating with parents and carers professionally and sensitively.
Liaising with external organisations and professionals when appropriate.
Monitoring incoming correspondence and ensuring information reaches the relevant member of staff.
Assisting with general office organisation and ensuring administrative procedures are followed consistently.
Supporting colleagues during particularly busy periods and contributing positively to the wider administration team.
Handling sensitive information with discretion and maintaining confidentiality at all times.
Following school policies and procedures, particularly those relating to safeguarding, confidentiality and data protection.
Experience and Requirements
The successful candidate will ideally have previous experience in administration, reception, school administration or a similar office-based environment. Experience within education would be beneficial, but the school is also interested in hearing from candidates with strong transferable administrative experience.
You should have excellent organisational skills and be able to manage several responsibilities at the same time without allowing standards to slip. Attention to detail is essential, particularly when entering information, preparing documents or maintaining records.
Strong written and verbal communication skills are required. You will regularly communicate with students, parents, staff and visitors, so it is important that you are confident, professional and approachable.
