An exciting opportunity has arisen for an experienced and highly organised Attendance & Admissions Officer to join a respected Independent School in Southwark. The school is seeking someone who can take ownership of attendance and admissions administration while providing an efficient, professional and welcoming service to students, parents and prospective families.
This is a particularly varied support role, combining accurate data and record keeping with regular communication with families and colleagues. Attendance & Admissions Team
You will work across two closely connected areas of school administration.
On the attendance side, you will monitor registers, follow up unexplained absence and lateness, maintain accurate records and provide relevant information to staff.
On the admissions side, you will support prospective families, maintain records, arrange appointments and assist with documentation and communications.
The successful candidate will need to manage both areas effectively while ensuring that confidential information is handled appropriately.
Key Responsibilities
Monitor student attendance on a daily basis.
Check registers for missing or inaccurate information.
Follow up unexplained absences promptly.
Contact parents and carers regarding attendance concerns.
Monitor patterns of absence and lateness.
Maintain accurate attendance records.
Prepare attendance reports for relevant staff.
Support senior leaders with attendance information.
Liaise with pastoral staff regarding individual attendance concerns.
Escalate significant concerns appropriately.
Maintain records of communication with families.
Support attendance meetings where required.
Assist with attendance improvement initiatives.
Ensure attendance procedures are followed consistently.
Respond professionally to parent and carer enquiries.
Support the admissions process from initial enquiry through to relevant administrative stages.
Maintain accurate records of prospective and current students.
Respond to admissions enquiries by telephone and email.
Arrange appointments, meetings and visits.
Prepare admissions documentation.
Assist with organising admissions events.
Liaise with prospective families professionally.
Ensure relevant forms and records are completed accurately.
Update school databases and administrative systems.
Maintain confidentiality at all times.
Assist with producing admissions and attendance reports.
Support wider administrative tasks during busy periods.
Work closely with colleagues across the school.
Follow safeguarding and data protection procedures.
Maintain a professional and welcoming approach.
Experience and Requirements
The ideal candidate will have previous experience in school attendance, admissions, administration or a similar education-based role.
Experience working with school information management systems would be highly advantageous, particularly where the candidate has responsibility for maintaining student records.
You should be confident communicating with parents and carers and able to deal with sensitive situations calmly and professionally.
