Senior Admin Officer | Comprehensive Secondary School | Westminster
CORE PURPOSE
We are seeking an exceptionally organized, articulate, and proactive Senior Admin Officer to oversee administrative workflows, manage student information systems, and coordinate front-of-house operations within a prestigious secondary school in Westminster. Reporting directly to the School Business Manager, the successful candidate will supervise administrative staff, ensure statutory reporting compliance, manage pupil records, and deliver seamless operational support across the school.

Situated on a historic campus in the heart of Central London, this high-performing voluntary aided secondary school serves over 1,000 pupils aged 11–18. Combining a long heritage of academic rigor with a modern, forward-thinking curriculum, the school maintains high expectations across all key stages. The administration team operates at the core of the school's daily operations, ensuring exceptional standards of communication, rigorous safeguarding checks, and efficient administrative routines in a bustling capital environment.
KEY TASKS & DAILY OPERATIONS
Office Leadership & Supervision: Supervise administrative assistants and reception personnel, allocating daily tasks, coordinating office rotas, and ensuring consistent front-of-house standards.
MIS & Data Governance: Oversee the school Management Information System (SIMS, Arbor, or Bromcom), compiling official DfE census returns, tracking attendance analytics, and managing pupil data integrity.
Admissions & Transition Oversight: Coordinate Year 7 secondary transfer admissions, process mid-year enrolments, liaise with local authority teams, and manage student record transfers.
Executive & Governor Support: Provide high-level secretarial support to the Headteacher and Senior Leadership Team, drafting confidential correspondence, preparing governor meeting packs, and organizing school events.
Safeguarding & Site Compliance: Enforce visitor access control, execute identity verification in compliance with Single Central Record (SCR) requirements, and handle confidential student data under strict GDPR guidelines.
PROFILE REQUIREMENTS
Qualifications: Strong academic background with GCSEs in English and Mathematics (Grade C/4 or above). Recognized qualifications in Business Administration, Office Management, or School Business Operations (e.g., NVQ Level 3/4) are highly desirable.
Experience: Proven administrative experience within a UK mainstream secondary school, academy, or sixth-form college, with demonstrated proficiency operating school MIS platforms and leading administrative teams.
Skills: Advanced IT capabilities (Microsoft Office Suite, Excel, school MIS databases), exemplary written and spoken English, strong interpersonal skills, and the ability to manage competing priorities with composure and discretion.
