Admin Assistant | City-Centre Post-16 Sixth Form College | Birmingham
CORE PURPOSE
We are seeking an organized, articulate, and proactive Admin Assistant to support the daily operational, student services, and administrative functions of a busy post-16 college in central Birmingham. Working closely with the Office Manager and Senior Leadership Team, the successful candidate will manage student records, assist with admissions processing, handle front-of-house inquiries, and provide efficient secretarial support to teaching faculties.

Set within a modern, multi-story city-centre campus featuring contemporary student study hubs, digital administration suites, and state-of-the-art learning facilities, this bustling sixth form college serves over 1,800 young adults aged 16–19 across Birmingham and the surrounding West Midlands. The college offers a mature, professional environment tailored toward university preparation and vocational excellence. The administrative team functions as the operational engine of the college, ensuring seamless communication between staff, students, parents, and external educational bodies.
KEY TASKS & DAILY OPERATIONS
Student Data & MIS Management: Maintain accurate student attendance, enrolment, and academic progress records using school Management Information Systems (SIMS, Arbor, or Bromcom).
Admissions & Enquiries Support: Process post-16 application forms, coordinate interview schedules, and respond to telephone, email, and front-desk inquiries from prospective students and parents.
Faculty Secretarial Assistance: Assist heads of department with word processing, report generation, photocopying, filing, and collating course promotional materials.
Reproduction & Mail Operations: Manage incoming and outgoing post, monitor general office email accounts, and oversee stock levels for administrative stationery and office supplies.
Visitor & Safeguarding Compliance: Greet campus visitors, verify identity credentials in line with Single Central Record (SCR) requirements, and enforce site security protocols.
PROFILE REQUIREMENTS
Qualifications: GCSEs in English and Mathematics (Grade C/4 or above) or equivalent vocational qualifications. Relevant business administration or secretarial qualifications (e.g., NVQ Level 2/3 in Business Administration) are highly desirable.
Experience: Proven experience working in an administrative or secretarial role, ideally within a secondary school, college, or education sector environment.
Skills: Strong IT proficiency (Microsoft Office suite, Excel, and school MIS databases), excellent telephone manner, high organizational skills, meticulous attention to detail, and the ability to handle confidential student data discreetly.
